1. Privacy Policy

“EventApper”, hereinafter referred to as “EventApper”, “we” or “us”, attaches great importance to data protection and you must be able to rely on this. “EventApper” is committed to protecting the privacy and accuracy of confidential information to the extent possible, subject to provisions of the law. This policy explains what we will do with your personal information.  

EventApper provides Services through https://eventapper.com/ web pages and EventApper Apps to you subject to this Privacy Policy, its Terms and Conditions, and its other policies. EventApper reserves the right to change this Privacy Policy at any time. By continuing to access or use EventApper Services, you accept any changes or revisions to this Privacy Policy. You are also strongly advised to go through our Terms and Conditions. 

 Cookies 

Whenever you use our website, including our application, cookies and other tracking technologies can be used in various ways, such as making the EventApper website work, to analyse traffic to improve our site and services. These technologies are either used by us directly, or by our business partners. If you want to learn more about what a cookie is, how they are used and what your choices are, please read more in the Cookie statement. 

2. Data Protection Under GDPR 

Residents of the European Union and Switzerland are entitled to the protection of their data under EU’s General Data Protection Regulation (GDPR) and/or other laws applicable. This section addresses the aforementioned concerns. 

Other than as required by laws that guarantee public access to certain types of information, or in response to some legal instruments that authorise access, personal information is not actively shared. In particular, we do not re-distribute or sell any personal information collected on our web servers. 

Personal data are any information which are related to an identified or identifiable natural person. All other capitalised terms used in this policy shall have the same meaning ad dedined in article 4 GDPR (such as personal data, controller, processor, data subject and others). 

Legal grounds for processing your Personal Data 

The GDPR requires us to tell you about the legal ground we’re relying on to process any Personal Data about you. The legal grounds for us processing your Personal Data include: 

  •  you provided your consent; 
  •  it is necessary for our contractual relationship; 
  •  the processing is necessary for us to comply with our legal or regulatory obligations; and/or 
  •  the processing is in our legitimate interest to fulfill our service as an event organising, content providing, and ticketing platform (for example, to provide you with customer service, and to protect the security and integrity of our systems, etc.). 

3. EventApper as a Data Processor

EU data protection law makes a distinction between organisations that process Personal Data for their own purposes (known as “data controllers”) and organisations that process Personal Data on behalf of other organisations (known as “data processors”). If you have a question or complaint about how your Personal Data is handled, these should always be directed to the relevant data controller since they are the ones with primary responsibility for your Personal Data. 

Where EventApper processes attendees’ Personal Data on behalf of Organiser as part of the Services, EventApper is a Data Processor in performing such Processing and Organiser is the Data Controller. This includes circumstances where Eventapper obtains Personal Data as a result of the provision of its core event management services (for example, where EventApper authenticates attendees’ identity based on the attendee list that organisers uploaded to EventApper, facilitates the transmission of emails to attendees at the request of Organisers, or provides event reports and tools to enable Organisers to gain insights into their attendees and the effectiveness of using the EventApper products). 

EventApper only provides an event engagement and management “tool” for Organisers; EventApper does not decide what Personal Data to request on registration forms, nor is it responsible for the continued accuracy of any Personal Data provided. Any questions that you may have relating to your Personal Data and your rights under data protection law should therefore be directed to the event organisers as the data controller, not to EventApper. 

We offer the ability for event organisers to email attendees directly through our platform and to choose one of two types of events (personalised or not-personalised). This functionality was built to send service-related emails specific to an organiser’s event attended by the recipient of such email. If an organiser wants to use this function, the organiser needs to secure his/her own compliant opt-in consents for the sending of such emails. EventApper does not do this on the organiser’s behalf. 

EventApper as a data controller 

In respect of some processing of Personal Data, EventApper may act as a Data Controller, for example, where attendees have engaged with aspects of EventApper’s application beyond those relating to organisers’ events, where event organisers and attendees directly provide the Personal Data about themselves as part of their account-creation process, or where Personal Data is processed by EventApper to conduct research and analysis to enable Eventapper to improve its products and features . 

4. EventApper website

Servers of “EventApper” collect the following analytics during using our webpage: 

  • Internet Protocol (IP) address of computer being used 
  • web pages requested 
  • referring web page 
  • date and time 
  • viewed pages 
  • browser type 
  • browsing information 
  • operating system 
  • internet service provider 
  • timestamp 
  • whether you have responded to an advertisement 
  • the referring URL 
  • features used or activities engaged in within the website/apps. 

EventApper does not associate this data to individual user identities. 

Webforms 
EventApper website uses webforms. These forms require users to give contact information: 

  • Name 
  • Surname 
  • E-mail address 
  • Country 
  • Address 
  • Phone number 
  • Company Name 
  • Company address 
  • Invoice address 
  • Geographical location data 

Contact information from the webform is used only to provide our services to the purpose for which it was collected and will not be sold to another party. 

5. Types of event and data collected

Personalised or not-personalised event via EventApper app 

EventApper app supports two different event types in terms of personalisation where attendees are listed or not listed in the networking tab on EventApper app. Event organisers can decide which type of event to choose to their events in EventApper and it is the event organisers’ responsibility to make their attendees (users) be aware of the policy. 
Please note that regardless of type of event (personalised or not-personalised) attendees’ contact information (e.g. emails, phone numbers) is not disclosed to other attendees unless users explicitly exchange their contact information via EventApper. 

Personalised events: 

For this type of events attendees (minus some possible exceptions selected by organisers) are listed in the networking tab on EventApper to help foster pre-event networking. Organisers will register attendees prior to the event start with their name, email address, company name and function. Once an attendee signs in to EventApper, his/her name will be listed in the attendee list of this event to facilitate networking.  If an attendee never signs in to EventAppers, his/her name is not listed. 

If a user does not want his/her name and profile to be listed and viewed by other attendees, he/she needs to explicitly opt out by changing the visibility setting on the Setting menu to be “invisible”. 

  • Why we collect data and what we collect during personalised events? 

During personalised events EventApper collects information about your usages. This may include information about any IP address used to access EventApper and your activities on EventApper. This is intended to help us improve our services to give users a better experience. 

EventApper collects information that Organiser or you provide in creating an account at EventApper. This may include information such as your name, company, function, email address, social network sign- in. We do not provide your information to any third party. 

Certain functionalities of EventApper require you to enter Personal Data to access your accounts with third-party websites, such as third-party social networks and websites. Your third-party login credentials will be stored for your convenience of continuously accessing the third party information upon your requests. We do not use this information for any other purpose. Your third-party login credentials are hashed and stored with the strictest security standards. 

Collecting personal information during personalised events 

The following types of personal information may be collected, stored, and used: 

  • information about your device including your IP address, geographical location, browser type and version, and operating system; 
  • information about your visits to and use of this website or app including the referral source, length of visit, page views, and website navigation paths; 
  • information, such as your email address, that you enter when placing an order or contacting our customer service. 
  • information, such as your name and email address, that you enter in order to set up subscriptions to our emails and/or newsletters; 
  • information that you enter while using the services on our website or app; 
  • information that is generated while using our website or app, including when, how often, and under what circumstances you use it; 
  • information relating to verification of your identity by our customer service agent; 
  • information relating to services you use, or transactions you make through our website, which includes your name, surname, address, telephone number, email address; 
  • information that you post about the event; 

Before you disclose to us the personal information of another person, you must obtain that person’s consent to both the disclosure and the processing of that personal information in accordance with this policy 

 Not-personalised events 

Organisers can choose to create an event where networking tab will be not chosen. Therefore, for this type of events attendees will be not listed in the networking tab on EventApper. Attendees will be able to use app without sharing their name, email, phone, function or company they are working in.  

  • Why we collect data and what we collect during not-personalised events? 

During not-personalised events EventApper collects information about your usages. This may include information about any IP address used to access EventApper and your activities on EventApper. 

For particularly this type of event via EventApper we collect data for only the following reasons:   

  1. To provide you with basic functionalities of the App. Upon your (re-) installation of the App we generate and collect a random ID, which is requested to provide you with the basic functionalities of EventApper, such us in any case the account management (used for the setup or management of a user’s account) and other processing connected with the use of this App. Please note, that we do not collect, store or process any Personal Data, such as your Device ID, so we can’t trace the random ID back to any device or person. We use Google Cloud Platform, as third party service provider, acting as Data processor, to assist us in hosting and providing the App to you or in your operations. The legal basis for this data processing is the performance of a contract between you and us.  
  2. To improve our App and gather feedback about event you visited. We may collect anonymous data based on your use of the App and we may use feedback that you provide voluntary through the App, if applicable. This is intended to help us or Organiser to improve services to give users a better experience. Collection of data based on your use of the app and feedback that you provide voluntarily through the App is done anonymously but if you decide to share any personal Data in your feedback the legal basis for this data processing shall be your consent. Categories of data involved in data processing include: generated random ID, data about usage of the App and services, votes, comments, voluntarily provided feedback, and any data provided in survey responses. Where appropriate, we will promt you to give us your consent to the collection and processing of your data as described above. This will in any case happen within the App upon your first use of it, in a clear manner. You can manage your Personal Data and opt-outs as described in the Transparency article.  

To respect your privacy, before using your Personal Data we will inform you about the categories of Personal Data we collect and the process we use them for. We will also inform you about data management options that you may have. 

 

 

6.Using your personal information  in general

 

Personal information submitted to us through our website or app will be used for the purposes specified in this policy or on the relevant pages of the website. Data is anonymised as far as possible and it is not disclosed to third parties. 

We may use your personal information for the following: 

  • administering our website and app; 
  • personalising our website/app for you; 
  • enabling your use of the services available on our website; 
  • verifying your identity by our customer service department; 
  • sending you non-marketing commercial communications; 
  • sending you email notifications; 
  • sending you our email newsletter (you can inform us at any time if you no longer require the newsletter); 
  • providing third parties with statistical information about our users (but those third parties will not be able to identify any individual user from that information); 
  • dealing with inquiries and complaints made by or about you relating to our website or app; 
  • keeping our website and app secure and prevent fraud; 
  • verifying compliance with the terms and conditions governing the use of our website 

Retaining personal information 

This Section sets out our data retention policies and procedure, which are designed to help ensure that we comply with our legal obligations regarding the retention and deletion of personal information. 

Personal information that we process for any purpose or purposes shall not be kept for longer than is necessary for that purpose or those purposes. 

Notwithstanding the other provisions of this section of retaining personal information we will retain documents (including electronic documents) containing personal data: 

  • to the extent that we are required to do so by law; 
  • if we believe that the documents may be relevant to any ongoing or prospective legal proceedings; and 
  • in order to establish, exercise, or defend our legal rights (including providing information to others for the purposes of fraud prevention and reducing credit risk) 

Security of your personal information 

  • We will take reasonable technical and organisational precautions to prevent the loss, misuse, or alteration of your personal information. 
  • We will store all the personal information you provide on our secure (password- and firewall-protected) servers. 
  • You acknowledge that the transmission of information over the internet is inherently insecure, and we cannot guarantee the security of data sent over the internet.

 

7. Your rights

You have the following privacy rights in the context of processing of your personal data: 

  1. You may instruct us to provide you with any personal information we hold about you; 
  2. We may withhold personal information that you request to the extent permitted by law. 
  3. You may instruct us at any time not to process your personal information for marketing purposes. 
  4. In practice, you will usually either expressly agree in advance to our use of your personal information for marketing purposes, or we will provide you with an opportunity to opt out of the use of your personal information for marketing purposes if we will start doing it. 
  5. Right to correct, complete or update your personal data; 
  6. You have a right to remove your personal data (we would like to draw your attention to the fact that certain services will no longer be accessible or cannot be provided if you delete certain personal data that is required or if you have this data removed); 
  7. Right to inspect your personal data; 
  8. Right to a restriction on the processing of your personal data 
  9. Right to transfer your personal data;

8. Disclosing personal information

We may disclose your personal information to any of our employees, officers, insurers, professional advisers, agents, suppliers, or subcontractors as reasonably necessary for the purposes set out in this policy. EventApper will not disclose your personal data to third parties, unless this is necessary for the execution of the agreement. 

We may disclose your personal information to any member of our group of companies (this means our subsidiaries, our ultimate holding company and all its subsidiaries) as reasonably necessary for the purposes set out in this policy. 

We may disclose your personal information: 

  • to the extent that we are required to do so by law; 
  • in connection with any ongoing or prospective legal proceedings; 
  • in order to establish, exercise, or defend our legal rights (including providing information to others for the purposes of fraud prevention and reducing credit risk); 
  • to the purchaser (or prospective purchaser) of any business or asset that we are (or are contemplating) selling; and 
  • to any person who we reasonably believe may apply to a court or other competent authority for disclosure of that personal information where, in our reasonable opinion, such court or authority would be reasonably likely to order disclosure of that personal information. 

In this context, your personal data may be made public to payment providers, software suppliers, cloud partners, transport partners, data centers, service providers or financial institutions. If it is unavoidable for EventApper to disclose your personal information to third parties in this context, and this third party will be obliged to use your personal data in accordance with the provisions of this Privacy Statement. 

EventApper concludes data processing agreements with all these parties in which the third party guarantees the privacy of the data. 

In all other circumstances, we will not sell, rent or transfer your personal data to third parties unless you provide your consent and a data processing agreement has been concluded with the third party in question, which contains the necessary guarantees regarding confidentiality and privacy-complaint handling of your personal data. 

9. Children’s privacy

EventApper is directed to people who are at least 18 years old, and EvemntApper does not knowingly collect Personal Data from anyone under the age of 18. If You are aware that EventApper has collected Personal Data from someone under the age of 18, please alert EventApper at info@eventapper.com and the information will be removed from our system as soon as is reasonably possible.  

10. Responsibility for external sites

This website may contain links to other web sites. Some of those web sites may be operated by third parties. We provide the links for your convenience, but we do not review, control, or monitor the privacy practices of web sites operated by others. 

We are not responsible for the performance of web sites operated by third parties or for your business dealings with them. Therefore, whenever you leave this web site we recommend that you review each web site’s privacy practices and make your own conclusions regarding the adequacy of these practices. 

We use Google Analytics to keep track of how users use the website and how effective Adwords ads are from Google search result pages. The information obtained, including the address of your computer (IP address), is transmitted to and stored by Google on its servers. Read Google’s privacy policy for more information. 

Google uses this information to keep track of how our website is used, to provide reports about the website to us and to provide its advertisers with information about the effectiveness of their campaigns. Google may also transfer this information to third parties if Google is legally required to do so, or if third parties process the information on Google’s behalf. We have no influence over this. We have not given Google permission to use Analytics information obtained through us for other Google services. 

We use Facebook pixels or SDKs for marketing purposes. The information we want you to know: 

(a) third parties, including Facebook, may use cookies, web beacons and other storage technologies to collect or receive information from your websites and elsewhere on the Internet and use that information to provide measurement services and target ads, 

(b) you can opt out of the collection and use of information for ad targeting by logging in your Facebook account, then go to Settings > Ads > Advertisers and businesses. To find it on the app, go to Settings > Ads > Ad Preferences > Advertisers and Businesses. Then choose the View Controls option under EventApper category and press on Don’t allow to stop Facebook from using data from and tracking your activity on Facebook. 

If you don’t allow your Facebook ad preferences to be used: 

  • You’ll still see ads, but they won’t be as relevant to you. 
  • You may still see ads for other reasons, such as: your age, gender or location. The content in the app or website you’re using. Your activity outside the Facebook Companies.

11. Privacy statement revisions

This Privacy Statement was last revised on 15 May, 2023. We reserve the right to change this Privacy Statement at any time and for any reason. We encourage you to review this Privacy Statement each time you visit the web site. 

If we make a significant change to our Privacy Statement, we will post a notice on the homepage of our web site for a period of time after the change is made.
